Evervoice Beta Privacy Policy

Effective September 19, 2026

Evervoice helps you record, keep, and share personal memories. This policy explains how EVERVOICE.AI INC. ("Evervoice," "we," "us") handles personal information in our US beta service, related websites and apps, invitation requests, and support communications. Beta accounts are for people 18 and older who reside in the United States. This policy also covers information that members provide about other people, including people without Evervoice accounts.

For privacy questions or requests, contact john@evervoice.ai.

The essentials

1. Information we collect

Account and profile information. Your name, email address, account identifiers, sign-in information, invitation status, and preferences. Google sign-in may provide your name, email address, and profile information. It does not give Evervoice access to your Google password or contacts. A profile photo and phone number are optional.

Memories and related content. Audio, video, text, and photos you record or upload; transcripts and edits; titles, summaries, and suggested places; and details such as dates, recording length, and file information. A memory may contain personal or sensitive information about you or other people. Avoid including passwords, government identification numbers, or information you do not want processed by the service.

Connections and activity. Connection requests, trusted circles, sharing permissions, questions you send or receive, comments, video replies, likes, notification preferences, and activity status. Other members may provide information about you through these features or their memories.

Invitation requests and communications. Your name, email, how you heard about Evervoice when requested, and information you give us in feedback or support messages.

Technical information. We and our service providers may process IP addresses, browser and device information, timestamps, authentication events, error records, and service-use information to deliver the service, understand reliability, and prevent abuse. Invitation forms also use abuse-prevention measures.

We receive information from you, your use of the service, your sign-in provider, and people who interact with you. We do not scan your phone's address book.

2. How we use information

We use information to create and secure accounts; save, organize, search, and play memories; generate transcripts and summaries; provide story guidance; manage sharing and responses; send enabled notifications; manage invitations; answer support requests; improve usability and reliability; prevent misuse; and meet legal obligations.

For example, we use sharing records to decide who can open a memory, and delivery records to investigate a failed email. We do not make a memory public simply because it was uploaded or processed with AI.

3. AI processing and place suggestions

Transcription and summaries. Saving a recording automatically requests transcription through OpenAI. Audio is sent for this purpose; an imported video may be sent as a video file when a separate audio track is unavailable. Text from a memory may be sent to generate its summary or identify places mentioned. Titles are suggested from the text. The current beta has no account setting that turns off automatic transcription.

Optional story guidance. If you use the conversational guide, microphone audio is sent to OpenAI so the guide can respond. A photo selected for guidance and recent conversation captions may also be sent. A video recorded during a guided session is saved as your memory; its camera track is not used as the guide's live conversational input.

Place links. To suggest relevant links, Evervoice first processes the transcript to identify public places. Selected place names and geographic context may then be used in a web search. This process is designed to limit searches to public places rather than private addresses or sensitive locations. Opening a link takes you to a separate website governed by its own privacy practices.

OpenAI states that API content is excluded from model training by default unless the customer opts into data sharing. Our review of the optional data-sharing settings on Evervoice's OpenAI account is still in progress, so we are not making a broader guarantee about provider training settings. Provider retention also varies by feature and may include safety or abuse-monitoring records. Evervoice does not promise zero provider retention. See OpenAI's API data controls.

AI can make mistakes. Please review important names, facts, and summaries. Evervoice is not end-to-end encrypted: content must be accessible to the systems that store and process it.

4. Sharing with family and friends

Memories are private from other members unless you authorize sharing. You can share a memory with specific people or a trusted circle. If you explicitly choose to share an answer with its requester before recording, that choice can take effect when the answer is saved. Merely receiving a question does not authorize sharing an answer. Those recipients can see the content and associated details made available in the shared view. Comments, likes, and video replies may be visible to the owner and other people authorized to view that memory.

Circle membership can affect access to memories assigned to that circle. Review the sharing information when changing its members. Removing someone from one circle may not remove access they still have through a direct share or another circle.

You can revoke sharing permissions. This blocks future access through Evervoice's permission checks, although a playback link already issued may work briefly. We cannot recall copies, screenshots, or recordings someone already made. Hiding video download controls does not prevent all copying.

Removing a connection does not automatically erase earlier comments or replies. Use available deletion controls or contact us for help.

If you enable find me by email, someone who knows your supported verified sign-in email may find your profile and request a connection. This setting is optional and off by default. It does not share your memories.

5. Service providers and other disclosures

We use providers to operate Evervoice. Current services include:

ProviderWhat it helps us do
SupabaseAccount authentication, databases, private media storage, and server-side processing.
OpenAITranscription, summaries, place suggestions, and optional conversational guidance.
Sites hosting infrastructure, including CloudflareDeliver and protect the website and app.
ResendDeliver service emails and forward invitation requests.
Amazon Web ServicesStore encrypted preservation backups and support recovery operations.
Google WorkspaceHandle business email, invitation requests, and support correspondence.

Information is made available to these providers as needed for their roles. Authorized Evervoice personnel may access information when needed for support, maintenance, security, recovery, or legal obligations. "Private" describes access by other members; it does not mean our operators or providers are technically unable to process the content.

We may also disclose information when reasonably necessary to comply with law or valid legal process, protect people or the service, investigate misuse, or carry out a merger, acquisition, financing, or transfer of the business, subject to appropriate safeguards and applicable law. We may disclose information at your direction.

We operate in the United States. Providers may process information in the United States and other countries where they operate; US beta eligibility is not a guarantee of US-only processing.

6. Notifications and optional phone numbers

You can manage email alerts for shared memories and incoming questions in Account. These alerts include the sender's name and a link requiring sign-in; they do not include the memory's title, transcript, recording, or the question text. Email providers process recipient and delivery information. Evervoice's current notification sender has email open and click tracking disabled.

We may still send necessary account, security, privacy, or service messages when optional activity alerts are off.

The beta can save an optional phone number and interest in text alerts. Text alerts are not currently active. Saving a number does not enroll you in active SMS delivery. We will provide the relevant notice and permission step before enabling text messages. You can remove your number or change your preference in Account.

7. Device storage and tracking

Evervoice uses storage on your browser or device to keep you signed in, remember preferences, and maintain temporary invitation state and recoverable drafts. Unfinished recordings, text, and selected photos may remain on that device until saved, discarded, or removed by the browser or app. Clearing browser or app data can delete unsaved drafts. Drafts do not automatically follow you to another device. Take care when using a shared device.

Evervoice does not add advertising trackers or use your memories for advertising profiles. Hosting and security providers may use cookies or similar technologies for their services. The beta has no separate response to browser Do Not Track signals; its practices described here apply regardless of that setting. We do not sell personal information or share it for cross-context behavioral advertising.

8. Retention, deletion, and preservation

We keep saved memories and account information to provide the service while your account is active, unless you delete information or request removal. Invitation and support records are retained for managing requests and resolving issues. Operational and security records may be retained for troubleshooting, fraud prevention, legal obligations, or disputes; the beta has not yet established fixed retention periods for every category.

Deleting a memory removes it from ordinary app access. Removal of underlying files can take additional time. Related records may need to remain to honor sharing revocations, prevent deleted information from reappearing, or meet legal requirements.

Encrypted backups may still contain deleted memories, account information, and other records. The beta does not currently have an automatic expiry period for historical backups, so we cannot give a fixed date when all backup copies will be erased. These archives are kept in cloud storage and on controlled operator devices for preservation and recovery, rather than normal member access. Contact us about a deletion request that needs special attention. Backup arrangements do not limit rights you have under applicable law.

Deleting content in Evervoice also does not instantly remove any records retained by a processor under its applicable retention rules or copies held by someone you shared with.

Backups reduce the risk of loss but do not guarantee permanent availability. Keep separate copies of irreplaceable source material. Uploaded photos are processed into resized copies with embedded metadata removed; Evervoice does not preserve the original uploaded photograph file.

9. Your choices and privacy requests

In the app, you can use available controls to edit information, manage discovery and notification preferences, choose recipients, remove sharing permissions, and delete memories or other supported content. Audio and photo downloads are available; video download controls are intentionally disabled.

For account deletion, a broader copy of your information, corrections you cannot make yourself, or concerns about information someone else uploaded about you, email john@evervoice.ai. Account deletion and a complete collection export currently require our assistance. You do not need an Evervoice account to submit a privacy request about your information.

We may ask for enough information to verify your identity and authority before acting. Do not send your password. Depending on where you live and which laws apply, you may have additional rights to access, correct, delete, or obtain a copy of personal information, or appeal a decision. You or an authorized agent may contact us using the same address. We will handle requests within applicable legal time limits and will not discriminate against you for exercising applicable rights. Some requests may be limited by applicable law, others' rights, or legitimate security needs. We will explain any applicable limitation and how backup retention affects completion; technical limitations do not remove rights you have under law.

10. Children and other people in memories

Beta accounts are limited to US residents aged 18 or older. We do not knowingly permit children to create accounts or collect personal information directly from children under 13. If you believe a child has created an account or submitted information directly, contact us so we can investigate and take appropriate steps, including deletion where required.

Adults may include family stories and photos involving children, with appropriate permission. Obtain permission required for recording and sharing other people's voices, images, and information. Consider the child's privacy and interests before uploading or sharing. Appearing in a family memory does not make that person an Evervoice account holder.

11. Security and policy updates

We use safeguards including encrypted connections, private storage, access controls, and encrypted preservation backups. No service can guarantee absolute security. Please protect your sign-in account and notify us if you suspect unauthorized access.

We may update this policy as the beta changes. This page shows the effective or revision date. For material changes, we will provide notice through the app or email, and obtain consent where required before making a materially different use of information. This policy does not waive your legal rights.
